Terms and Conditions

At the International Vaccines and Virology Conference, the privacy of our valued customers is important. We strongly believe that the personal information of our customers should not be shared with a third party without prior consent or request from the customer. Privacy is the right of an individual, and the information of the customer, such as contact numbers, email addresses, etc., is used only for internal purposes and not for sale. We condemn the unauthorised reach, misuse, and/or disclosure of the personal information of the customer, and we have strict guidelines and high-security features to prevent the same. Any changes in our ‘Privacy Policy’ will be posted here on the website.

1. Responsibility

Delegates are personally responsible for their belongings at the venue. For any reason, the Organizers will not be held liable for any stolen or missing items belonging to delegates, speakers, or attendees.

2. Insurance

Registration fees do not include insurance of any kind.

3. Transportation

Please note that any (or all) transportation and parking are the responsibility of the attendee.

4. Requesting an Invitation Letter

For security purposes, the letter of invitation will be sent only to those individuals who have registered for the conference. Once your registration is complete, please contact info@ivaccinesconference.com to request a personalised letter of invitation.

Regarding refunds, all bank charges will be for the registrants' account.

5. Event Time and Dates

Due to circumstances beyond the organization's control, such as force majeure, natural disasters, sabotage, accidents, trade or industrial disputes, terrorism, strikes, or hostilities, the organisation retains the right to make changes to the programme, date, and/or venue. The organisation is not liable for any losses or damages incurred as a consequence of an event's substitution, change, postponement, or cancellation. Also, in the event of unavoidable and unforeseeable circumstances, the organiser maintains the right and has sole discretion to cancel any conference. Registrations remain valid for future events or for events with the new dates and the organizer will have no further liability to the client.

6. Cancellation of Registration

All cancellations or modifications of registration must be made in writing to info@ivaccinesconference.com.

7. Transfer of Registration

All fully paid registrations are transferable to other people from the same organization if the registered person is unable to attend the event. Transfers must be made by the registered person in writing to info@ivaccinesconference.com. Details must include the full name of the replacement person, their title, contact phone number, and email address. All other registration details will be assigned to the new person unless otherwise specified.

However, registration cannot be transferred if it is intimated within 45 days of the respective conference.

The transferred registrations will not be eligible for a refund.

8. Visa Information

Keeping in view of increased security measures, we would like to request all the participants to apply for visas as soon as possible.

i-Vaccines 2022 will not directly contact embassies and consulates on behalf of visa applicants. All delegates or invitees should apply for a business visa only.

Important note for failed visa applications: Visa issues cannot come under the consideration of the cancellation policy of i-Vaccines 2022, including the inability to obtain a visa.

9. Refund Policy

In the case of a cancellation, the organisation will make reasonable and acceptable alternative arrangements, such as notifying individuals who have booked or purchased tickets to attend the event on the official event website. We recommend that you visit the website for conference updates. If the conference has to be postponed due to circumstances beyond the organizer's control, registrations will remain valid for events with new dates or future editions. If the registrant is unable to attend and is not in a position to transfer his/her participation to another person or event, he/she can apply for a refund. Keeping in view of advance payments towards venue, printing, shipping, hotels, and other overheads, the following refund policy applies:

  • Before 90 days of Conference: Eligible for 50% of payment refund
  • Within 90 days of Conference: Not eligible for Refund
  • All refunds will be initiated after the completion of the event.

10. Accommodation Cancellation Policy

Every hotel has its own cancellation policies for accommodation, and they generally apply when cancellations are made less than 30 days prior to arrival.
